This policy explains how Varyntis (“we”, “us”) collects, uses, and protects personal data when you visit varyntis.com, book a call, or contact us. We process personal data in accordance with the EU General Data Protection Regulation (GDPR).
1. Who we are
Varyntis is a senior-led AI-enabled operations optimisation practice. For any privacy question, contact us at contact@varyntis.com.
2. Website personal data
This website is a static informational site. It does not require you to create an account, and it does not collect personal data through forms hosted on the site itself. When you visit, our hosting provider may automatically process limited technical data (such as your IP address, browser type, and pages requested) to deliver and secure the site.
- Purpose: serving the website, security, and aggregate visit statistics.
- Legal basis: our legitimate interest in operating a secure, functional website (Art. 6(1)(f) GDPR).
3. Calendly bookings
When you book a call through our Calendly link, your information is collected and processed by Calendly on our behalf. Depending on the booking form, this may include your name, email, company, role, preferred language, industry, and a description of your main operational challenge.
- Purpose: scheduling and preparing your introductory call.
- Legal basis: steps taken at your request prior to entering into a contract (Art. 6(1)(b) GDPR).
- Processor: Calendly LLC. Please review the Calendly Privacy Notice for details.
4. Microsoft Teams meetings
Intro calls take place on Microsoft Teams. When you join a meeting, Microsoft processes data such as your name and connection information to provide the service. We do not record meetings unless agreed with you in advance.
- Purpose: conducting the meeting you requested.
- Legal basis: pre-contractual steps and our legitimate interest in communicating with prospects (Art. 6(1)(b) and (f) GDPR).
- Processor: Microsoft Corporation. See the Microsoft Privacy Statement.
5. Email communication
If you email us at contact@varyntis.com, we process the personal data contained in your message to respond and to maintain our business correspondence.
- Purpose: responding to your enquiry and managing the relationship.
- Legal basis: pre-contractual steps and legitimate interest (Art. 6(1)(b) and (f) GDPR).
6. Analytics
We aim to keep analytics privacy-friendly. We may use Hostinger’s built-in, aggregated website statistics, which do not rely on tracking cookies and do not identify you individually. We also use Google Search Console to understand how the site performs in search results; it processes aggregated, non-identifying search data.
We do not use Google Analytics, and we do not use Plausible Cloud. We do not run cookie-based advertising or cross-site tracking.
7. Google Search Console
Google Search Console provides aggregated reports on search queries, impressions, and clicks for varyntis.com. This data is reported at an aggregate level and does not identify individual visitors. See the Google Privacy Policy.
8. Cookies
This website does not set tracking, advertising, or profiling cookies. Any cookies strictly necessary for basic site operation, if used, are exempt from consent under the ePrivacy framework. If we ever introduce cookie-based tracking in the future, we will first implement a GDPR-compliant cookie consent banner and update this policy.
9. Data sharing & international transfers
We share personal data only with the processors named above (Calendly, Microsoft, Google, and our hosting provider) strictly to deliver the services described. Some processors may transfer data outside the EU/EEA; where they do, they rely on appropriate safeguards such as Standard Contractual Clauses.
10. Data retention
We keep booking and email data only as long as necessary for the purpose for which it was collected, and to comply with legal obligations. Enquiry data that does not lead to an engagement is deleted within a reasonable period.
11. Your GDPR rights
Subject to applicable law, you have the right to access, rectify, erase, restrict, or object to the processing of your personal data, the right to data portability, and the right to withdraw consent where processing is based on consent. You also have the right to lodge a complaint with a supervisory authority.

12. AI governance & EU AI Act readiness — scope of our support
Where Varyntis provides AI governance and EU AI Act readiness support, this is operational and governance support — for example, helping you map AI use cases, document workflows, assess risk, and prepare internal governance practices. It is not legal advice and does not constitute a guarantee of legal or regulatory compliance. For binding legal opinions on the EU AI Act or any other regulation, you should consult a qualified lawyer.
